Privacy notice

The MoJ Design System is provided by the Ministry of Justice.

The Ministry of Justice is the data controller. A data controller determines how and why personal data is processed.

This privacy notice explains what data the MoJ Design System processes and why we ask for this information. It also explains how we store your data, your rights and how to complain if you think we’ve done something wrong.

What data we process

The personal data we collect from you includes your:

  • name
  • job title, profession and team name
  • email address
  • user profile on collaboration tools and platforms

User research

If you participate in user research, we may make a video and audio recording of the session.

This will be anonymised before it’s shared with anyone. None of the information will be made public.

Cookies and site usage data

When you give your consent, we use Google Analytics cookies to collect information about how you use design-patterns.service.justice.gov.uk.

This data is anonymised before being analysed.

Google Analytics processes anonymised information about:

  • how you arrived at the site
  • the pages you visit
  • how long you spend on each page
  • what you click on when you’re on the site
  • the device and browser you use
  • your Internet Protocol (IP) address

We’ll not identify you through analytics information or combine it with other data in a way that would identify you.

Why we need this data

We collect your data to:

  • explore how building blocks are being used
  • improve the Design System
  • reply to your queries
  • include in the details of a building block (if you give your permission)
  • send you email updates about our work (if you’ve requested this)

We collect information through Google Analytics to see how you use the site. We do this to:

  • gather feedback about the service and how it’s being used
  • prioritise what we work on
  • monitor use of the site to identify security threats
  • make sure the site is meeting the needs of its users

The legal basis for processing this data is it’s necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.

How we process and store your data

We maintain our systems to make sure that your data is processed and stored safely.

None of the information that you share with us will be shared outside the MoJ Design System.

All data is processed in the European Economic Area (EEA).

How long we keep your data

We’ll only keep your personal data for as long as:

  • the law requires us to
  • we need to for the purposes listed above

If you’ve signed up to our mailing list, your email address will be retained while you choose to remain on the list.

Recordings of research sessions in which you could be identified will be deleted within 2 years.

Your rights

You have the right to request:

  • information about how your personal data is processed
  • a copy of your personal data
  • an immediate correction to any inaccurate personal information

Changes to this policy

We may change this privacy notice. When we do this, the ‘last updated’ date on this page will change.

Any changes to this privacy notice will apply to you and your data immediately. If these changes affect how your personal data is processed, MoJ will take reasonable steps to make sure you know.
